Candidate & Job Seeker Privacy
How we handle candidate profiles, resumes, applications, verification data, and marketplace visibility.

1. Candidate Data We Process
As a candidate or job seeker on Remote-Works, we process the following categories of personal data:
- Identity Data: Full name, username, email, phone number
- Profile Data: Professional title, skills, work experience, education, certifications, bio, portfolio links
- Verification Data: Government ID submissions (for identity verification), credential verification results, trust tier status
- Application Data: Job applications, cover letters, assessment responses, interview recordings (if applicable)
- Resume Data: Uploaded resumes, AI-generated resumes, resume optimization history
- Portfolio Data: Work samples, GitHub repositories, HuggingFace contributions, proof-of-work records
- Communication Data: Messages with career specialists, employers, and support team
- Assessment Data: Rating Lab results, skill assessments, test scores
- Financial Data: Earnings records, payment history, payout information (for freelancers)
2. Profile Visibility & Searchability
2.1 Public vs. Private Profiles
You control the visibility of your profile. When set to "searchable" or "public":
- Your professional profile information is displayed to registered employers and recruiters
- Your profile may appear in marketplace search results and AI-powered recommendations
- Employers you have not applied to may view your profile
- Your public profile URL (username page) is accessible to anyone with the link
When set to "private," your profile is only visible to employers you have directly applied to and career specialists you are connected with.
2.2 Sensitive Information
We recommend not including sensitive personal information (such as exact date of birth, Social Security numbers, health conditions, or religious affiliations) in your profile or resume. Remote-Works enforces a policy preventing employers from requesting sensitive identifiers through the Platform.
3. Identity Verification Data
When you submit identification documents for verification:
- Documents are processed securely through encrypted channels
- Third-party verification services may be used to validate document authenticity
- Only the verification result (verified/not verified) is stored long-term — raw document images are deleted after verification
- Verification status is displayed as a trust badge on your profile, not the underlying documents
We do not share your identification documents with employers or other users. Only the verification status (badge/tier) is visible to others.
4. Application & Resume Data
4.1 Job Applications
When you apply to a job or project, your application data (including your profile, resume, and any additional materials you submit) is shared with the employer who posted the opportunity. Once shared, the employer's own privacy practices govern their use of your data.
4.2 Resume Builder Data
If you use our AI Resume Builder, the content you provide and the resumes generated are stored in your account. AI-processed resume data may be used in anonymized form to improve our AI models, subject to your opt-out rights.
4.3 Third-Party Application Preparation
When career specialists help prepare you for third-party platform applications, the specialist may access your profile and relevant data. We are not responsible for how your data is handled once submitted to third-party platforms — their own privacy policies apply.
5. Data After Account Closure
When you close your account:
- Your profile is removed from the marketplace and search results
- Active applications are withdrawn where possible
- Employers who already received your application data retain their copy under their own privacy policies
- Transaction and billing records are retained as required by tax and accounting laws
- Aggregated, anonymized data derived from your usage may be retained indefinitely
- Security logs and fraud prevention data are retained for the legally required period
6. Candidate Data Rights
As a candidate, you have full rights to access, correct, export, and delete your data as described in our Data Rights policy. You can also:
- Change your profile visibility settings at any time
- Download a copy of your profile and application data
- Request deletion of specific data points
- Opt out of AI-powered recommendations and matching
- Withdraw consent for marketing communications
